With your full weekend in mind, we develop a strategic budget that accounts for every element of your celebration. This ensures your investment is thoughtfully allocated across all events to maximize impact.
Initial Mood Boards
To establish a cohesive aesthetic for your wedding weekend, we create individual mood boards for each event, from the rehearsal dinner to the farewell brunch. Each board reflects your style and preferences while ensuring every event feels distinct yet visually unified.
These mood boards serve as the foundation for our future design decks, and determine which initial vendors we will secure.
Priority Vendor Procurement
Upon approval of the budget allocation, and the initial mood boards, we begin procuring your priority vendors for the weekend.
Our approach to defining priority vendors is dynamic, adapting to current market conditions. If certain vendors are booking faster than usual, at risk of price increases, or likely to sell out, we proactively adjust priorities to secure the best options. Each vendor is selected based on style, personality, and budget to align seamlessly with the overall vision and priorities.
Comprehensive Design Process
With foundational vendors in place, we create detailed design plans for each event, blending heirloom-quality elements with playful touches. Honoring tradition while pushing boundaries, we create immersive experiences that feel personal and unforgettable. We weave in favorite colors, scents, textures, experiences, and memories through each design plan. When your guests arrive they will know exactly whose wedding they are at. It won’t be just another pretty event on their social calendar.

Remaining Vendor Procurement
Upon approval of the design deck, we carefully select and coordinate additional vendors to complete the vision for your weekend celebration. Every creative partner is chosen for their ability to bring your ideas to life with precision and style.
Project Management Portal
Throughout the planning process, we use a dedicated project management portal to keep every detail organized and accessible. From timelines and vendor information to floor plans and design details, this system ensures transparency and keeps everyone on the same page.
The portal also allows you to track progress and stay informed without feeling overwhelmed, offering peace of mind as we bring your celebration to life.
Production
Production is an ongoing process at Swoon Soiree. From the moment your event begins to take shape, we act as the liaison between you and your vendors, ensuring every detail is seamlessly executed.
Whether it’s adjusting for an out-of-stock item, accommodating dye lot changes, or pivoting in response to increased shipping delays, we proactively manage every challenge to keep your celebration on track.
Event Management
Throughout your wedding weekend, our team is on-site to oversee every detail.
From managing timelines and truck manifests to coordinating vendor arrivals and setups, we ensure every element unfolds seamlessly. This allows you to focus on being fully present with your guests and host a truly unforgettable celebration. Our team will also be on site for your rehearsal.

Our planning fee is 12% of the total vendor contract, with a minimum fee of $10,000. This percentage-based structure ensures that the scope and complexity of your celebration are met with the appropriate level of attention, care, and expertise.

Two On-Site Planners:
The stylist ensures every visual element of your celebration is flawless. They oversee the setup of decor, adjust linens and tablescapes, work with the lighting team to refine lighting placements, and ensure that signage and styling pieces are precisely positioned. By focusing on the finer points, the stylist creates an atmosphere that feels cohesive, intentional, and elevated—enhancing the guest experience and ensuring your event is captured beautifully in photographs.
Stylist:
Dedicated to supporting the wedding party during morning preparations, the personal attendant ensures everything runs smoothly behind the scenes. They work closely with the hotel concierge to manage elevator access for vendors and wedding party members on higher-level floors, keeping the morning timeline on track. From coordinating with the hair and makeup team to ensuring the couple have everything needed for their transfer to the ceremony, the personal attendant takes care of the details so the morning feels seamless and stress-free.
Personal Attendant:
For larger or more complex events requiring additional staffing, any labor beyond the core team will be discussed in advance and billed separately. This ensures your celebration has the precise level of support needed to run seamlessly.

Review the Proposal
This proposal outlines the scope of work, services, and approach we discussed during our consultation. Please take time to review the details and ensure everything aligns with your vision and priorities. If you have any questions or need adjustments please let me know.
Request the Agreement
Once you’re satisfied with the proposal, let me know, and I’ll send the agreement for your review and signature. This step confirms the scope of services and secures your date.
Submit the Retainer Payment
Once the agreement is signed, a 50% retainer payment is required to initiate planning.
Onboarding and Planning Kickoff
After your date is secured, we’ll onboard you into our project management portal, and start the budget allocation process.
